Who can use the AI agent

Step-by-step task guide: AI agent.

  • Chat with the agent: Firm owner, Firm admin, Accountant, Bookkeeper and Tax advisor. Client (viewer) and Client (contributor) have no agent at all: the menu entries New chat and Chats do not appear, and a direct visit says "You are not allowed to use the AI agent". If a colleague cannot see the agent, check their role under the members of the firm; an owner or admin changes it.
  • The agent can do only what your own role may do. Each step is checked against your role again; a refused step shows not allowed for your role and the agent explains it in its answer.
  • Have the agent make proposals: Firm owner, Firm admin, Accountant and Bookkeeper. The Tax advisor can chat, look up, explain and have the agent remember facts, but every proposal that changes data is refused.
  • Accepting a proposal needs the right for the thing itself, not just for the chat. So a Bookkeeper can ask for a reminder run but cannot send the letters; only Firm owner and Firm admin send reminders and finalize invoices.
  • Export: the Bookkeeper is refused when asking the agent whether a month can be exported to DATEV, because the role has no export right. Firm owner, Firm admin, Accountant and Tax advisor may.
  • A new customer or supplier through the agent needs the right to create contacts, which the Tax advisor does not have. Memory: all five roles with chat can ask the agent to remember or forget a fact.
  • Chats are personal: you see your own chats; Firm owner and Firm admin also see everyone's chats about the client.
