Ask the agent for a category or a change to a booking

Step-by-step task guide: AI agent.

  • Owners, admins, accountants and bookkeepers can ask the agent for a category and have it propose a change to a booking. A tax advisor can ask which category fits but cannot have a change proposed (the step shows not allowed for your role). There is no switch to turn on.
  • Asking "Which category fits this booking?" only gets an answer: the agent names the category (step Suggest a category) and why, and proposes nothing. Ask for the change, for example "Book it as software" or "Set the tax code of this booking to 19%", and it proposes it.
  • The suggestion is chosen from the categories of this client's chart (those that fit an expense or income). It looks at the merchant, the name and the lines of the receipt. If nothing points to a category, the suggestion is a best guess (the catch-all category if your chart has one), so look at it before you accept.
  • A rule from the agent's memory wins over the suggestion: a decision of your tax advisor that a person wrote down or accepted from the chat for that merchant (see the page on letting the agent remember a fact). The agent names the rule it followed. Facts it remembers only give context and never decide a category.
  • The agent can propose six things on one booking: Category, Tax code, Contact, Project, Description and Document type. It cannot change amounts, rates or the state of a booking, and it never deletes a receipt.
  • Nothing is booked yet. The step reads Booking proposal recorded; click Review in the inbox, or open the Inbox and look under Proposals. The proposal also opens beside the chat in the Workspace on the tab Review booking. Click Accept to apply it or Reject to drop it.
  • Only someone who may change that booking themselves can accept. The agent works on one booking at a time and, within one answer, makes at most 8 tool calls, so for a long list ask in smaller steps.
