Fix a held bank statement

Step-by-step task guide: Bank and payments.

  • A statement is held when opening balance plus its lines does not equal the closing balance, or when a balance was not read. Its lines then stay out of matching: they get no suggestions, Assign manually is not offered, and the line says "Held" with a link to the statement. Correcting balances or releasing needs the right to change bank lines and bookings (firm owner, firm admin, accountant, bookkeeper); voiding needs the right to delete them (firm owner, firm admin, accountant).
  • Open Finances, tab Accounts. The list of imported statements opens by itself when a statement is held, shows how many are held, and shows the finding under that statement.
  • To correct: click Correct the balances, fix Opening balance and Closing balance as the statement prints them, and under the reason say where you read them, for example the page and the line (at least 3 characters). View the statement shows the original when it is stored. Click Save the balances. If they now add up with the lines, the lines are released into matching; if not, the page says the statement stays held. This form appears only for a balance finding.
  • To release without changing a balance: click Release with a reason, write why it is correct anyway (at least 3 characters) and click Release. The lines go into matching as they are and your reason is on the record.
  • To download the original: click the file name of the statement, and Download in the panel. Only statements whose original is stored have it: a PDF read by the model and a CAMT, MT940 or CSV too large to read at once. For other files the list says that the format is not stored.
  • To throw a statement away (wrong file, another company, uploaded twice): click Void, choose Why and add a Note (required for Other reason), and click Void statement. All its lines are hidden, it leaves the account balance and the month-end check, the file stays archived, and it cannot be undone: upload the right file afterwards. It is refused when money was assigned to one of its lines, when a later statement relies on its lines (the message names those files: void them first), while it is still being read, and when the month of its lines is closed.
  • A PDF that could not be read is listed at the top of Bank lines with the reason. Upload the file again, or click Discard (the same as voiding).
