Task guides
Run the cashbook (Kassenbuch)
Step-by-step task guide: Bank and payments.
- The cash book is off by default for each client. Firm owners, firm admins and accountants (who may change the client settings) switch it on with Switch on the cash book on the tab Cash book under Finances; others see that a person with that right must do it. The page asks you to agree the cash book requirements with the tax advisor before switching it on. It books on SKR03 account 1000, so it is not available for a client on another chart of accounts.
- Open a cash account under New cash account: Name, Opening balance (EUR), Date of the opening balance, then Open cash account. Firm owners, firm admins and accountants may do this. Several cash accounts appear as tabs with their balance.
- Record under New entry: Date, Kind (Receipt or Payout), Amount (EUR) above zero, Description and an optional Receipt number, then Record entry. Firm owners, firm admins, accountants, bookkeepers and client contributors may record. Under Book at once to choose Category, Transit (bank or another cash account) or Shareholder clearing, or leave Link a document later; contributors do not get that field.
- The balance may never go below zero on any date, so a payout that would do that is refused. A date before the opening date, in the future, in a closed day or in a closed month is refused too.
- An entry without a document shows the state "No document" and Link document for those who may change bank lines. Entries cannot be edited or deleted. To correct one, click Reverse, give the reason and click Record reversal entry: a negative entry dated today is added, naming the original, and what the original paid is reversed with it. A reversal cannot be reversed, an entry only once. Firm owners, firm admins, accountants and bookkeepers may reverse.
- Under Daily closings enter the Day and the Counted cash (EUR); the page shows the book balance at the end of that day and any difference. Click Close the day and confirm with Close the day for good. That day and every day before it are frozen and marked "Day closed". A count that differs from the book needs a reason in the Note: without it the closing is refused. The closing then books the difference itself, before the day is frozen, as a Kassendifferenz entry of that day, and keeps the count next to it. The next closing must be for a later day. The same roles as for reversing may close.
