Assign a bank line to an invoice or receipt

Step-by-step task guide: Bank and payments.

  • Open Finances and stay on the Bank lines tab. Each line is a payment from your imported bank statement.
  • A line with a suggested match shows it with Match and Dismiss. Click Match if the suggestion is right.
  • If there is no suggestion or it is wrong, click Assign manually on the line. Type an amount or number into the search field and click Search.
  • Tick the open items the payment covers. An open item is an invoice or receipt that is not paid in full yet. Each ticked item gets an amount that you can change, so one payment can be split across several items.
  • On a payment you made, you can tick Book the rest as a bank fee (no VAT) to book what is left over as a fee.
  • Confirm with the button under the list. It is available only while the chosen total is not more than the open amount of the line.
  • An item that cannot be ticked shows the reason below it, for example a receipt in a foreign currency that must be booked first.
  • The search, the account, the date range and the direction narrow the whole history of bank lines, not only the loaded page, and the counts on the tabs follow the same filters. The date range and the direction are kept for this client in this browser.
  • To give several lines one category, tick the lines (only unassigned, released lines of one direction), choose a category under Choose a category and confirm with Assign. A category must fit the direction (an expense category for money out). If any line is refused, for example in a closed month, nothing is assigned and the refused lines are named.
  • A line without a document can become a booking: choose Create booking from line, check Description and VAT rate, then Create booking and assign. The booking takes the amount, the date and the counterparty from the line, and the line is assigned to it.
