See and reset what the app learned about a supplier

Step-by-step task guide: Inbox and documents.

  • Open Settings, then Supplier memory. Every role that can open the client's settings can read the list. Owner, admin, accountant and bookkeeper can use Forget; for every other role the app answers Your role may not change the supplier memory. The tab is always on, and each client has its own memory that no other client shares.
  • What it is: when a person corrects a booking that the AI read from a document, for example its category or tax code, the app remembers the correction for that supplier. At the next document of the same supplier the AI gets up to five of the latest corrections as examples, and the category you corrected to last is proposed. This works for a supplier the app recognises by VAT ID or IBAN. A supplier found only by name is just suggested and teaches nothing.
  • The list has one row per supplier: Supplier (with the date of its last correction), Category and Tax code (the values corrected to last, a hyphen if none), Corrections (how many corrections changed more than the link to the supplier) and Last used (the date the memory last shaped a reading, or Not used yet). Before anything was corrected the list says Nothing learned yet.
  • A default category stored on the supplier's contact comes before the learned one. The learned category is used only if the client still has it and it fits the booking, so an expense never gets a revenue category. Everything learned is a proposal: a person still checks the booking.
  • Forget (the bin icon at the end of the row) makes all corrections made so far stop counting, in this list and for the AI. The row disappears until someone corrects that supplier again. Nothing is deleted: the corrections stay in the audit log, existing bookings and the contact keep their values, and there is no undo.
  • Use Forget when the memory teaches something wrong, for example after a mistaken correction or when a supplier now sells something else. Then correct the next booking properly, or set a default category on the supplier's contact.
  • In the Supplier panel of a booking the app shows how many corrections the supplier was learned from (Learned from 3 corrections) and whether the category comes from the supplier's default or from earlier corrections, so you can see the memory at work.
