Task guides
Receive invoices by email
Step-by-step task guide: Inbox and documents.
- Open Settings, then the Mail intake tab. Only the firm owner and admins can set it up.
- Choose Create address. Each client gets one address. A signing secret (a long key that proves the mail really comes from your mail provider, the service that delivers incoming mail) appears only this once: store it with the provider, then choose Hide.
- Under Allowed senders type the email address of each person who may send invoices and choose Allow. Until you do, every mail is rejected.
- Tick Mail intake active for this client.
- Forward invoices to the address shown under Address. PDF, image and XRechnung attachments become receipts; the mail text is never read. No address is shown until a mail provider is configured for the app (that is set up by whoever runs the installation, not in this tab); until then only the path the provider delivers to (the webhook) exists.
- The table Received mails shows each mail with its Result, for example Receipts created, Sender not allowed or Already archived.
- An allowed sender gets a short reply mail saying what arrived: receipts created, already archived, or why nothing could be taken. A sender who is not allowed gets no reply.
