What the AI agent can and cannot do

Step-by-step task guide: AI agent.

  • Who: the Firm owner, Firm admin, Accountant, Bookkeeper and Tax advisor roles can chat with the agent; client roles cannot. No switch is needed. One exception is off by default: changing the text of a document through the agent only works if your installation has switched it on.
  • It looks up and explains: bookings, documents, bank lines, open and overdue invoices, who owes you money, contacts, the VAT and month-end status, whether a month can be exported to DATEV, and why a bank line or a VAT rate was chosen. For example: "Which bank lines are still open in October?" or "Why is this booking at 19%?".
  • It proposes, and a person accepts in the Inbox or in the Workspace: changing a booking (category, tax code, contact, project, description, document type), assigning bank lines, a reminder run, a dunning block, payment terms of a contact, recurring expenses, copying settings from a client you name, a tax setting, and facts for its memory. Until someone accepts, nothing changes.
  • Three things it saves at once, without an accept step for the save itself: an invoice, offer or delivery note draft (also changes to a draft), an invoice draft from a contract, and a new customer or supplier, which stays unconfirmed until a person confirms it. A draft is not issued: issuing is a proposal that waits in the Inbox for someone who may finalize.
  • It reads files you attach (images, PDF, Word, Excel), contracts, and a small set of verified German legal provisions. It names a law section only when it found it in this answer; otherwise it says there is no verified source, or marks the reference not verified by a tool.
  • It never books, issues, sends or files anything with an authority, never deletes a document, never closes a month, never produces the DATEV file and gives no tax advice. Reminders are sent by a person who is allowed to, from the Reminder run tab, after a confirmation.
  • Every answer is marked AI-generated, so check it. A step marked not allowed for your role means your role may not do that part. If it stops early or says there is no guide, see the page on limits and errors.
