Void an upload and restrict a payslip to payroll
Step-by-step task guide: Inbox and documents.
- Voiding an upload is for owners, admins and accountants. Lifting or setting the payroll restriction is for owners and admins only. Both happen in the document panel: open Bookings, switch to the view Documents and click the file.
- To void a file nobody will book (a test, a duplicate, a document of another company): choose Void this upload, pick a Reason (Duplicate of another document, Not this company (private or another entity), Test or wrong upload or Other reason), add a Note (up to 300 characters, required for Other reason) and choose Void upload. Cancel closes the form without voiding.
- A voided upload leaves the lists and the duplicate check, so the same file can be uploaded again as a new document. The file and the reason stay archived, nothing is deleted, and voiding cannot be undone. The panel then shows Voided with the reason. To see them, tick Only voided documents in the view Documents.
- The button is not offered for a document that already has a booking. The app also refuses a document that was handed over in an export (DATEV or Lexware) or that is still being read (try again in a moment). A document voided once keeps its first reason: voiding it again with another reason is refused.
- If the extraction decides a document is not an invoice or receipt (a bank statement, a payslip, a contract), no booking is made and the panel says so. Book anyway reads the document again as a receipt; Confirm filing records that you checked and agree it stays a document.
- A payslip, or a document whose text mentions payroll, can be restricted to payroll: only members with the payroll right can see it, everyone else does not see it in lists or open it, and the ZIP export leaves it out for them. The panel shows that restriction. On a payslip that is not restricted yet, an owner or admin can choose Restrict to payroll.
- If a document was restricted by mistake, an owner or admin opens it and chooses Lift the restriction; only then can it be booked with Book anyway. A restricted document is never booked on its own. If the change fails, the app says so and you can try again.
