Split a booking over several accounts

Step-by-step task guide: Bookings and reports.

  • Use this when one document belongs on more than one account, for example a supplier invoice of 119.00 that is partly office supplies and partly postage. Owners, admins, accountants and bookkeepers can split; the tax advisor and the client roles can only read.
  • Open Bookings, click the booking and scroll to Split over accounts. Choose Split over several accounts. Two shares appear, each with an account from this client's chart and a gross amount in the currency of the document.
  • Pick an account and type the gross amount for each share. Add share adds a line, the cross removes one; a split keeps at least two shares. Remainder shows what is still missing to the cent, and Save split stays disabled until it reads 0.00.
  • The booking needs its Category first: it is the default account of the split. The document may carry only one VAT rate; the VAT is shared over the shares by their gross amounts, to the cent. An issued invoice cannot be split.
  • If the api refuses the split, a message under the shares says why: the shares do not add up to the document gross (it names both figures), fewer than two shares, no category, or several VAT rates on the document. Nothing is saved then.
  • A saved split is booked as one debit line per share and one payable line, and the DATEV export writes one row per share under the same document number. Remove split takes the shares out again; the booking returns to its category account.
  • A split can only change while the booking is not Posted and not exported and its month is open. After that, correct it with Reverse (see Reverse a booking (Storno)) and book it again. Every change is written to the audit log with the shares before and after.
