Task guides
Copy the look of an existing invoice and set the invoice layout
Step-by-step task guide: Invoicing and dunning.
- Open Settings, then Print layout. The block Copy the look of an existing invoice copies the design of one of this client's own invoices, so new invoices look the same.
- Under Sample invoice choose a file: an invoice as PDF, PNG or JPEG, up to 10 MB and at most 2 pages. The file is only read to make a suggestion and is not stored.
- Wait while the app reads it. Next to your sample you see What we read: the main colour, the second colour, the font, the logo, the footer columns and the intro and closing texts it found. A notice above tells you what it could not read, for example the text, and you then write that part yourself.
- Check What would change. It lists every setting that would differ from what the client has today.
- Happy with it? Choose Use this look for this company, then confirm with Use this look. Nothing is saved before you confirm, and Discard throws the suggestion away.
- Further down, check that the box Use this print layout and the text snippets is ticked, because the layout is off by default and invoices then print in the standard design. If you had to tick it, choose Save layout.
- Invoices that are already issued keep the layout they were issued with. If this client follows the layout of another company, the upload is switched off: choose Use own layout first.
- Let the assistant copy the look: Attach your current invoice to the assistant chat and ask it to make new invoices look the same. The assistant reads the colour, font, logo, footer and the intro and closing texts from the file and proposes them; the layout changes only when a person accepts the proposal in the inbox. Page structure and font sizes cannot be copied exactly, and the card lists what was not taken over.
