Check a month before you close it

Step-by-step task guide: Bank and payments.

  • Open Finances, then the Accounts tab. Below your bank accounts you find the Month-end check.
  • Pick the month in the Month field. The check opens on the newest month your bank statements cover.
  • The result is shown at the top right of the box: either Ready for the hand-over or the number of open points. If the month has no bank statement yet, the box says so; import the statement first.
  • Five lists follow, each with a number: Unassigned bank lines, Category bookings without receipt, Statement balance differences, Gaps between statements and Open issues.
  • Work through the lists until every number is 0. An open issue is a link to the booking you need to correct.
  • When every list is empty, the month is ready and can be closed. How to do that is on the page about closing and re-opening a month.
  • Below the lists the box shows Compliance warnings for the whole books, as of today and not for the chosen month: No warnings, or a count with the findings. They cover a customer account in credit, a liability in debit, input or output VAT on the wrong side, open items older than 30 days, a difference between the accounts and the open items, bookings dated after today, and a plant, equipment or vehicle balance carried in from an earlier year on which no depreciation was ever booked. The checks exist for the SKR03 chart only: for another chart the box shows that the warnings could not be loaded, not No warnings.
  • The warnings are separate from the five lists: a month can be Ready for the hand-over and still show warnings. Read them and ask the tax advisor; the account rules behind them are not yet confirmed by a tax advisor, as the notice says.
  • If payroll is switched on for the client and your role may read payroll, a Payroll list follows the open issues for the chosen month: a payroll liability account in debit, a wage expense account in credit for the year, the wage tax return (Lohnsteuer-Anmeldung) due within 7 days or past due, a Minijob gross over the monthly limit, and a note to record the working time of Minijob employees (§ 17 MiLoG). With a quarterly or yearly filing period the Lohnsteuer-Anmeldung shows only in the last month of the quarter or year. The app does not record a filed Lohnsteuer-Anmeldung yet, so a past due date stays listed as a warning. These findings never stop the month from being Ready for the hand-over.
  • The Month-end check also lists Documents without a booking: receipts uploaded more than 10 days ago that no booking uses yet. The number of days is a setting per client. To change it, open Settings, then Periods, and enter 1 to 31 days under Booking settings. A value above 10 shows a warning label, because the warning then comes later. The warning never blocks a booking or closing the month. The same box has two thresholds for the compliance warnings: after how many days an open item is reported (1 to 365, default 30) and an amount ceiling per booking (empty means none). Raising a threshold never switches a check off; each change is recorded in the audit trail.
  • Whether the figures of a client come from the stored journal is set in Settings, Periods, in the Journal box: Off, Shadow or Journal. Only owners and administrators can change it. If the box says the server currently allows only a lower mode, the client runs at that lower mode.
