Export bookings as CSV or ZIP, the invoice journal and the DATEV master data

Step-by-step task guide: VAT and DATEV.

  • Exports are for owners, admins, accountants and the tax advisor. For other roles the buttons stay grey. Every export is recorded in the audit trail. Only DATEV marks bookings as exported and locks months; the other exports only read, so use CSV and ZIP for a copy.
  • Open Bookings. At the top right are the buttons CSV, ZIP, DATEV and DATEV master data. CSV downloads one file transactions-<client short name>.csv with every booking of the client in every state; it does not follow the filters or the search on the page. Column headings and words are in the app's language (for example Date, Amount, Category, Status), Excel reads amounts and dates as numbers and dates, and the file is UTF-8 with a BOM.
  • ZIP downloads accounting-ai-export-<client short name>.zip. It holds buchungen.csv (the same readable list as the CSV export, with invoice number, service date and due date), transactions-raw.csv (the machine export with amounts in cents), README.txt (date, client, number of bookings and documents), the original documents of those bookings and the PDFs of issued invoices, all in one flat folder and named so they sort by date (2026-05-29_Ausgabe_RE-0042_Beispiel GmbH.pdf: date, Einnahme, Ausgabe or Ausgabenminderung, number, counterparty), and MAPPING.csv, which maps each file name to its document id in the system. A file that cannot be read is listed in MISSING.txt instead of stopping the export.
  • Both files leave out bookings of contacts whose processing is restricted (after a refused deletion request), and the ZIP leaves out documents restricted to payroll when you do not have the payroll right. The app does not tell you how many were left out, so do not use these two files as a complete record; the DATEV export and the GoBD export keep them.
  • On Invoices, Sales invoice journal (CSV) (Rechnungsausgangsbuch, in German) downloads rechnungsausgangsbuch-<client ID>.csv, named with the client's ID rather than its short name. It has one row per issued invoice in number order: number, dates, status, recipient, tax code, net, tax and gross (in the invoice currency and in EUR), the open amount and whether it is paid or overdue as of today. Drafts, quotations, order confirmations and delivery notes are not in it. Amounts are written like 1190.00.
  • DATEV does not just download: it opens a dialog, hands the chosen months to the tax advisor, marks those bookings exported and locks the months that are over (see Hand your bookings to the tax advisor with a DATEV export). It stays disabled until the consultant and client numbers are saved; a banner with Add them now leads to them (see Enter the DATEV numbers for a client).
  • DATEV master data downloads EXTF_Debitoren_Kreditoren_<client short name>_<year>.csv for the current year, with the name, address, VAT ID and first IBAN of every customer and supplier account, including archived contacts. It changes nothing in the books. Give it to the tax advisor together with or before the booking batch, so DATEV shows names and not only account numbers. It needs the same two DATEV numbers.
  • The CSV, the ZIP, the sales invoice journal and the DATEV files each ask for a fresh code, sent to your sign-in e-mail. A code is valid only for the download it was asked for, for a few minutes; the next download asks again.
