Let the agent prepare a reminder run for overdue invoices

Step-by-step task guide: AI agent.

  • Owners, admins, accountants and bookkeepers can ask the agent for a reminder run, for example "Send reminders for all overdue invoices". Only owners and admins can send the letters; an accountant or bookkeeper can start the run and reject letters but gets no send button. A tax advisor cannot start one. There is no switch to turn on; letters go out only when someone accepts them.
  • The run follows your dunning rules (Settings, Dunning): they decide which overdue invoices are due, the level, the fee and the interest. The agent chooses none of that. For each invoice that is due it prepares an unsent letter and a proposal. One run covers at most 100 invoices.
  • The agent skips an invoice that has a dunning block (on the invoice or on its contact), whose next level is not due yet, whose levels are used up, that is not open any more, or that already has a letter waiting, so running it twice makes no second letter. It tells you how many it proposed and which ones it skipped and why.
  • The letters open beside the chat in the Workspace, on the tab Reminder run. The amounts shown are a preview and are recalculated on the day of sending. Reject drops a letter; accepting a single row sends that one letter.
  • To send everything, click Send all 4 letters. A box Send these letters? names the number and the total claimed, and warns that a sent letter cannot be taken back. Confirm with Send 4 letters now or choose Cancel. If a row is refused (for example the invoice was blocked in the meantime), the message says how many letters were sent and the refused row stays in the list.
  • The letter is mailed to the customer. If the contact has no email address, the letter is still stored as sent but no mail goes out, and the Audit trail records that it was not mailed.
  • To stop reminders, tell the agent, for example "The customer disputes invoice RE-2026-014, stop the reminders". It proposes a block (disputed or on hold) as a proposal Stop or resume dunning; once someone who may change dunning accepts it in the Inbox, the block is set and the invoice's waiting reminder letters are withdrawn. To lift it, ask the agent to resume reminders for the invoice and accept that proposal too.
