Standing expenses (recurring expenses)

Step-by-step task guide: Bookings and reports.

  • Open Bookings in the left menu, tab Standing expenses. Each row is a template for an expense that comes on a schedule, such as rent or insurance: supplier, amount, interval (monthly, quarterly or yearly), the next run and the status (active, paused or ended).
  • To make one, open an expense under Bookings and choose Create standing expense, then the interval. It starts paused, so nothing is booked yet. Only an expense qualifies: not an income, not a reversal and not a booking that was reversed. The booking needs a supplier, a category and a date.
  • The agent also proposes a standing expense when the same receipt came three times; you accept it in the inbox, and it also starts paused.
  • Choose Resume to start a paused template. Pause stops it for now, and End stops it for good: no further bookings are created and it cannot be resumed.
  • Each due period produces exactly one booking, shown as Proposal, please review. You confirm or discard it in the review; nothing is posted by itself. Run now creates the due periods at once as such proposals, at most 12 in one run. Resuming a paused standing expense skips the periods that ended while it was paused, so it does not book a backlog.
  • A period in a closed month is not booked: the row shows that the last run failed and the period is tried again once the month is open.
