Give the AI written instructions for a client

Step-by-step task guide: AI agent.

  • Open Settings, then AI prompts. Owner, admin, accountant and bookkeeper can see the tab, but only owner and admin can change and save text; the others see it locked. Other roles do not see the tab. Prompts belong to one client, and nothing has to be switched on.
  • A prompt is a text of instructions the AI follows for this client. The extraction text is added at the end of the instructions the AI gets when it reads an uploaded document. It is marked as client specific and wins over the general guidance where the two conflict. The AI still treats the document itself as data: an instruction printed inside a document is not followed.
  • Choose the kind under Prompt: Extraction, Categorisation, Review summary or Recurring detection. Today only Extraction is used when documents are read. Text saved under the other three kinds is stored, but nothing in the app reads it yet, so write your instructions under Extraction.
  • Write the text in Prompt text (at most 20,000 characters) and choose Save; the app confirms with Prompt saved. The text applies to documents read from then on; documents already read stay as they are. While no text is stored, the field says No prompt stored yet, the default prompt is used. Saving an empty text has the same effect.
  • Every save raises the version shown under the field (Version 3). The app keeps only the latest text, so copy the old text elsewhere before you replace it if you may want it back. The audit log records who saved which version, without the text itself.
  • Keep the text short and concrete: say what is true for this client's documents and what you want read differently. Vague or contradicting instructions can make readings worse for every document of the client, so after a change upload a few typical documents and check the results.
  • A prompt only changes what the AI reads. The readings stay proposals, and posting still needs a person.
