What the Settings dialog is and who sees which section
Step-by-step task guide: Settings and security.
- Settings is a window that opens over the screen you are on, not a page of its own. Open it from the account menu at the bottom of the sidebar. It opens on the Company profile and belongs to the client you have open: it holds that client's data and behaviour. The one firm-wide tab is Members, which lists the firm's people and their access per company. The address carries the open tab, so a link opens the same tab and the browser's Back button closes the window.
- A rail on the left has three blocks: This client with six sections, Shortcuts with Contacts, and Just for me with My display. Each section shows its common tabs in a bar above the panel; the rare ones sit behind a toggle such as 3 more, which opens by itself when the open tab is one of them. A path above the content shows where you are. On a narrow screen or a phone the rail is replaced by a drop-down called Settings section, grouped by section. Close the window with its close button.
- Company: Company profile, Members, Payroll (switched on here). Invoices and letters: Print layout (logo, footer, look of documents), Number ranges (numbering of invoices and other documents), Payment terms, Dunning (levels, fees, interest); behind the toggle Invoice types (switch on down payment, partial and closing invoices) and Articles (reusable invoice lines). Bookkeeping: Categories (booking categories and their accounts), Chart of accounts, VAT rates, Periods (close and re-open months); behind the toggle Bank rules (rules the app learned for bank lines), Approvals (approval chains), Projects and Fields (custom fields).
- Connections: Mail intake (the e-mail address for receipts), DATEV (consultant and client number), Move your data (bring contacts, open items, documents and opening balances over from another tool; it also holds the Lexware connection card); behind the toggle Imports (pairing supplier invoice, forwarder invoice and customs notice for customs imports) and API tokens. Compliance and exports: GoBD export, Retention (retention periods and deletion), Audit trail. AI and automation: Autopilot; behind the toggle AI prompts (the instructions that steer reading and categorising) and Supplier memory (corrections it learned for suppliers, which you can make it forget). Shortcuts: Contacts (customers and suppliers). My display: Theme and Layout.
- A tab appears only if your role may read what it holds. Owners and admins see all of them. Accountants see all except Mail intake, which only owners and admins see. The Lexware card inside Move your data is for owners, admins and accountants. Payroll, Retention, Audit trail and API tokens are for owners, admins, accountants and tax advisors. Fields and AI prompts are for owners, admins, accountants and bookkeepers. A Client (contributor) sees only Contacts, Payment terms, Articles, Invoice types, Print layout, Bank rules, Supplier memory, Company profile, Autopilot, Members, Theme and Layout. DATEV and Payroll are hidden for a client outside Germany.
- A tab you can see is not always one you can change. Lists such as Contacts, Articles or Categories open records for reading in every role that sees them and say that your role may only view. Other tabs show locked when you lack the right. The bank details and the BZSt and four-eyes switches in the Company profile, and the switch in Autopilot, can be changed by owners and admins only.
- Theme and Layout under My display are personal: colours, corner radius, spacing and the sidebar's behaviour. They are kept in this browser only, so colleagues and your other devices are not affected. The account menu holds only the language; the light, dark or system appearance is set only under Theme and on the sign-in screen.
