Compliance
Documents and templates
Draft compliance documents from templates, edit them, comment, keep versions, translate and download.
Compliance documents (records of processing, TOM, DPIA, processor agreements, policies) live in the Library. You can have the AI agent draft them, start from a template, or upload a PDF or Word file. This guide covers the documents themselves. For uploads, folders and the Library as a file store see Library and files. For signatures see Approvals and signatures.

In short
Create a document
You can create a document in three ways: ask the agent in a session ("Create a ROPA"), use New Document in the Library and give it a name, or finish a checklist and generate the document from it (see Gap analysis and checklists). While the agent writes, the document opens in the canvas next to the chat and the text appears as it is produced.
If you start a template for which a document already exists, the app asks "Document Already Exists" and offers Clear & Restart, which deletes all saved field values.
Open Library in the sidebar.
Choose New Document, type a name and confirm. Or open the agent and ask for a document by its name.
Open the document. The status column shows Draft, Pending, Processing or Failed.
Good to know
- Some sections are fixed legal wording and some are free text. The agent only rewrites what is meant to be written.
- A document with open fields shows "N fields missing" or "N sections to review". Review a section to accept its values.
- With Discuss with Agent you continue in a session with the document in context.
Edit, comment and keep versions
The editor works like a word processor. Select text in the document to add a comment; comments can be replied to, resolved (Resolve) and reopened (Reopen). Use Save version to keep a state and add an optional change reason. The Version History lists every version, lets you download one, Compare Versions and Restore an older version. Template documents are read-only in the Library, so there is no version to save for them.
In short
Try it
Open a document and select a sentence. Add a comment.
Choose Save version and enter a change reason.
Open Version History, pick two versions and compare them.
Good to know
- Older DOCX versions have no PDF preview.
- Comments are visible to everyone who may read the document.
Translate
Translate creates a translation of a document next to it. A translation is read-only. When you change the source, the translation is marked outdated, and you can update one or all of them (Update all). Deleting a document also deletes its translations.
Download and share
Download offers PDF, Word (DOCX), HTML (single file), Markdown, plain text or the original file, with options for page size and orientation. A signed document can include the signatures and an appended Signature record page. Several documents download together as one ZIP. The PDF of an uploaded file contains the file's own pages, without text edits made after the upload.
Use in answers (memory)
Each document has a switch Use in answers. When on, the agent can quote the document in its answers. Turning it off removes the document from the store the answers are built from; it stays in the Library. This is a preference, not erasure under the GDPR. More in Memory.
